JOB SUMMARY:
The Intake Specialist responds to new client inquiries and also to known clients who are returning to the outpatient program for a new episode of care, and assists prospective clients through clinical screening, registration, insurance and client payment determination, arrangement of the initial appointment and assignment of a treating provider or referral to appropriate resources.
The Intake Specialist is also the contact person for all referral sources including hospitals, primary care physicians, other agencies and insurance carriers. In addition, the Intake Specialist meets with Walk-In clients and completes the electronic health record (EHR) system referral, intake/registration, insurance/payment verification and benefits assignment, initial program screening, initial appointment and assignment of the treating providers.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Serves as point of contact for SERV Centers of New Jersey’s mental health and substance use outpatient therapy services, from initial contact through the assignment of treatment provider or referral to outside resources.
Conducts phone and/or in-person screenings for individuals who are requesting outpatient behavioral health services.
Enters referral, intake, demographic and benefit assignment data directly on the agency’s EHR system, in accordance with the agency’s policies and procedures.
Performs insurance verification and contacts insurance companies or other funders for approval to treat the client and to determine the amount of client liability; enters the data on the EHR System and communicates the results to the client.
Documents client contacts/progress concisely in the EHR in accordance with policies and procedures.
Sends intake packet to client and responds to client requests for information or assistance in the completion of the forms.
Assists client in the completion of eligibility and application requirements for Medicaid, NJMHAPP or other financial resources to assist in payment for services.
Determines eligibility for sliding fee scale for self-pay clients, based on agency’s policies and procedures, and obtains all necessary documentation to back up the decision.
Schedules the initial appointment for the client within the guidelines of the client’s referral source and/or insurance company provider manual.
Coordinates the placement of clients with individual therapists based on client needs and insurance credentialing requirements.
EDUCATION, KNOWLEDGE, SKILL & ABILITY:
Associate degree with 2 – 3 years of medical office experience.
Must be able to work two weekends a month and one late evening.
Case Management experience is a plus.
Familiarity with EHR systems.
Proficient in MS Office.
Demonstrated good judgment, initiative and patient interaction skills.
Bilingual fluency in English and Spanish preferred.
