The candidate in this role will act as a liaison between other departments in matters pertaining to events.What will you do?* Prepare job plans including request for proposals, estimates and task schedules.* Review material with stakeholders as required assuring quality standards and customer satisfaction.* Maintain project information; project details, cost, estimates, schedules, A/R and A/P invoice processes.* Act as the main contact with the hotels and convention centers for all planning processes as needed for each event.* Research and recommend most effective locations and ideas to achieve stakeholder's objectives and budgets.* Negotiate with hotels, convention centers, conference centers and other venue on behalf of stakeholders to ensure the event is cost effective.* Review details with stakeholders as required assuring timelines and tasks are on schedule.* Manage registration and travel for assigned events and communicate with attendees.* Develop and maintain Cvent registration websites for events as needed by the team.* Assist the Event Systems & Services Specialist in maintaining the Cvent Account and all supporting templates.* Maintaining system functionality by testing computers, A/V equipment, and various components as directed by Event Systems & Services Specialist.* Work with speakers and attendees to resolve problems with event technology, AV equipment and technical support through phone, email and or in person.* Travel to events and manage or assist the Event Systems & Services Specialist with on-site AV support and technology support such as hotel and venue wifi, app usage, polling software, etc.* Work with Event Team to identify hybrid and virtual plans to execute for events as needed.How will you get here?Education* Bachelor's Degree preferred - Marketing, Communications, Event or Meeting Planning - or equivalent experience in the hospitality industryExperience* Minimum of 5 years in hospitality or related industryKnowledge, Skills, Abilities* Strong project management and task timeline skills* Strong knowledge of project budgeting and reconciliation skills.* Strong systems and technical skills and ability to maintain knowledge of current and new developments of tools and technology.* Must be able/willing to travel at least 30% especially during peak seasons and where needed throughout year* Must have unrestricted work authorization to work globally* Proven team player with the ability to organize, prioritize and handle multiple projects simultaneously.* Proven ability to work well with senior management and all levels of the organization* Experience in virtual sales meetings and understanding of how virtual and hybrid meetings work and how to execute them from start to finish.* Strong communication skills (written and verbal)* Ability to work independently and in a group setting and willing to update the team as needed to ensure the team is aligned.* Able to handle any physical exertions that can be expected as a part of the job.
